Payment & documents

Know what to pay.
Know what to send.

Start with a short description of what you need. We agree the work, fee and target return date before you commit, then guide you through payment and sharing the right records.

Effective date: 8 October 2026  ·  Version: 1.3

For now: This website does not currently take card payments or accept file uploads. Send a non-confidential enquiry without attachments. Only pay after Haven confirms in writing that your order is ready, and wait for the agreed private route before sending project records.

Five clear steps

  1. Agree the job. We confirm what we will do, what you will receive, the price, the records needed and the target return date in writing. You accept the service terms before payment.
  2. Receive your private invoice. Use the business-bank details and exact reference on your invoice. Fixed-fee reviews are paid 100% upfront, including any agreed Priority or Urgent delivery charge.
  3. Wait for our payment confirmation. We check that the money has cleared in Haven's account, then confirm the private document-sharing route with your authorised contact. A screenshot or payment message does not confirm cleared funds.
  4. Send the agreed records. Follow the instructions for your project and send only the files within the accepted scope. Keep your originals.
  5. We confirm the start and return date. We check the records and confirm in writing when the complete agreed pack is accepted. Only that confirmation starts the agreed delivery period, measured in working days. We then carry out the agreed work and provide the named result through the agreed route.

What we check before taking the work

  • Who is instructing us, who is authorised to act and which project parties are involved. For Contract QS, this includes the agency and end client.
  • Whether the work is suitable for us, including conflicts of interest, the country and contract involved, professional risk and the agreed service terms.
  • Whether you have authority to share the records, who may receive them and the purpose for which we may use them.
  • The project reference, document and file limits, accepted formats, storage and access arrangements, and how long records will be kept.

We provide written instructions for naming files, removing unnecessary or sensitive details and sharing the records before accepting them.

What you can send

We agree the document list for your particular job. It may include relevant contracts and amendments, drawings, specifications, programmes, schedules, payment records, change logs, correspondence, spreadsheets and site photographs. CAD or model files must be agreed in advance.

  • Each file: up to 50 MB.
  • Project Check: up to 10 files, totalling no more than 250 MB.
  • Detailed Project Check: up to 30 files, totalling no more than 1 GB.

The accepted service also sets the page, item and file-format limits. These limits apply unless Haven agrees a different private route in writing. Do not send software, scripts, passwords, bank or card details, unrequested archive files or material outside the accepted project and scope.

Keep the first enquiry simple

Tell us what needs sorting and when you need it back. Do not attach confidential records to your initial email or send them through LinkedIn. This includes contracts, project correspondence, legal advice, payroll or tax records, National Insurance or tax reference numbers, bank or card details, passwords, private portal links, signatures, sensitive personal information, safety-sensitive material and live-dispute documents.

Use enquiries@havenmeasure.com for a new enquiry and support@havenmeasure.com for help with an existing project. Neither address replaces the private document-sharing instructions for your job.

When the delivery period starts

Sending a file or receiving an acknowledgement does not mean the pack is complete or that work has started. We may ask you to replace unreadable, damaged, unsafe, duplicate, incorrectly named or out-of-scope files, or reduce a pack that exceeds the agreed limits. Unsafe files may be isolated or rejected.

The delivery period begins only when Haven confirms in writing that the complete agreed information pack has been accepted and states the start date. Tell us about any known project or contractual deadline in your enquiry; do not assume we are monitoring it.

Your enquiry is the starting point

An enquiry or an unsolicited document does not create an instruction or client relationship. Sending records alone does not require Haven to review them, advise, monitor deadlines or preserve remedies. Work proceeds only under the accepted written agreement and the payment and document arrangements confirmed for your project.
